Job Summary

Responsible for assisting with customer invoice processing and performing government billing administrative duties.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:  
•    Perform order entry for contracts and modifications into SAP and validate against internal contract brief or client contract
•    Read, analyze, and interpret contracts and related documents and apply information to invoicing and reporting practices.
•    Maintain contract specific rate decks, to include T&M, Cost Reimbursement, or Fixed Price billing milestones
•    Review and organize non-labor vendor expenses and validate against project charges to ensure accurate client invoices. (e.g. No PO check requests, purchase orders, and expense reports); coordinate with program control and operations as needed.
•    Verify accuracy of billing codes and make corrections as appropriate prior to processing by coordinating goods receipts adjustments with operations, accounts payable, etc.
•    Prepare journal entries as required
•    Maintain a billing work file to validate SAP invoices calculations and support month end revenue accruals
•    Prepare and distribute a variety of reports as requested.
•    Prepare copy, file, and email monthly customer invoices and related reports.
•    Update Billing Log monthly, confirm client received invoice and use SAP to confirm payment was received by the company
•    Provide positive and productive customer support to internal and external customers and respond to requests in a timely and professional manner. 
•    Perform all other related duties as assigned.

Job Qualifications

•    Education:  Associate's degree (A.A./A.S.) or equivalent in Accounting, Finance or related discipline. 
•    Experience:  2-4 years related experience in finance, accounting or related discipline.  Prior experience with government contract invoicing or cost based invoicing required. 
•    An equivalent combination of education and experience may be accepted as a satisfactory substitute for the specific education and experience listed above.
•    Certification/Licensure:  None
•    Other:  Excellent spreadsheet skills required, time management skills, and detailed oriented.  Proficiency working with SAP and Dassian is a plus, Microsoft Word and Outlook required knowledge of MS Power BI a plus.  Ability to work independently and as part of a team. Strong analytical and organizational skills.  Must be able to multitask, prioritize work load and meet strict deadlines. 

 

PHYSICAL DEMANDS:
•    Regularly operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer.
•    Must occasionally move about inside the office to access file cabinets, office machinery, etc.
•    Regularly provides information to and receives information from/through various technologies, media, sources and contacts. Must be able to accurately exchange accurate information in these situations.
