Job Summary

We are seeking a Global Invoicing Supervisor for our Corporate Finance site located in Wilmington MA. The individual will be responsible for the supervision, training, and guidance of the invoicing staff as well as the execution of invoicing for various sites. Lead the invoicing staff to provide high quality support to the various businesses within Charles River while promoting a professional environment and building a department reputation for efficiency, accuracy, and excellent service.

The following are responsibilities related to the Global Invoicing Supervisor:

  • Supervise invoicing of all SAP-enabled legal entities, globally.
  • Execute invoicing & invoice distribution for assigned sites.
  • Provide excellent customer service to businesses by conducting invoicing, responding to questions, troubleshooting, and problem-solving all in a timely & professional manner.
  • Maintain special invoicing instructions spreadsheet for staff.
  • Execute & maintain necessary Order-to-Cash SOX control reports according to due dates.
  • Identify, address, and release invoices which fail to post to accounting.
  • Run reports and other ad hoc tasks as required by management.
  • Leverage administrative assistants to order printer paper, envelopes, printer cartridges, and other invoicing office supplies as necessary.
  • Determine assignments for direct reports based on the individual’s skillset and strengths while considering the unique requirements each business has.
  • Address questions & concerns of invoicing staff and escalate matters to Financial Systems Supervisor where necessary.
  • Provide regular coaching & counseling.
  • Monitor performance and conduct performance reviews of direct reports.
  • Recommend personnel actions, including hiring, promotions, and raises. Partner with Human Resources and management to assist in the handling of disciplinary issues.
  • Identify training & development needs of direct reports.  Assist in the development, implementation, and delivery of departmental training programs. 
  • Review and approve digital timesheets. Coordinate vacation/time-off schedules.
  • Ensure optimum performance of group function. Recommend & implement techniques to improve productivity and increase efficiencies.
  • Perform all other related duties as assigned.

The following are minimum qualifications related to the Global Invoicing Supervisor position:

  • Education:  Bachelor’s degree (B.A./B.S.) or equivalent in a related discipline.
  • Experience:  Minimum 4 to 6 years related experience required.  Prior experience in a contract research/pharmaceutical setting preferred.
  • An equivalent combination of education and experience may be accepted as a satisfactory substitute for the specific education and experience listed above.
  • Other:
    • Knowledge of SAP is preferred.
    • Highly skilled with computers & technology.
    • High level of proficiency in standard office applications (word processing, spreadsheets, databases, etc.)
    • Highly professional & customer service oriented with excellent interpersonal & communication skills.
