Job Summary

The Shipping Manager is responsible for the management of the daily operational activities of the Shipping & Logistics Department.  

 

Essential Responsibilities:
•    Oversees shipping and logistics department to ensure shipments (domestic and international), outgoing and incoming, are completed according to product regulations, restrictions, and guidelines.
•    Oversite and management of all shipments to ensure they are properly packed and shipped timely (GMP and RUO).
•    Responsible to hire, train, schedule, manage, mentor staff.
•    Conducts regular staff meetings with staff and cell supply shipping & logistics staff to impart information, educate on new and/or updated procedure, ensures that customer service and safety guidelines are followed as best practices.
•    Assist with developing, revising and reviewing Standard Operating Procedures (SOP’s) and protocols (PRT’s).
•    Responsible for review and approval of invoices, including reconciliation of accounting records. Requests credits and adjustments from vendors as needed.
•    Responsible for reviewing and approving supply requests in accordance with Materials Management procedures.
•    Able to use and train staff on the company’s financial software, scheduling, and shipping software as well as vendor shipping portals.
•    Communication and coordination of logistics with various external vendors for products including blood, bone marrow, cord blood etc. from order placement to verified completion. May include ordering, drop shipments, receipt and shipment of sourced products, and equipment that needs to be shipped to customers.  Troubleshoots problems with clients.
•    Oversees all communication with external and internal customers, Business Development Executives and Sales Liaisons for all shipping related matters.
•    Assists with equipment management. Review all logs, records, and graphs, and keep them in place for inspectors, per regulatory guidelines.  Deviations from normal must be reported to Regulatory Department.  Must have knowledge of emergency procedures for equipment and products.
•    Ensure shipping alignment is implemented and maintained across all cell supply sites.
•    Maintains Shipping vendor management by scheduling regular meeting, reviewing performance, and addressing service issues.
•    On board and qualify new shipping vendors and set up account as needed for each cell supply site.

Job Qualifications

•    High School Diploma required; Bachelor’s degree in Business Administration, Supply Chain Management or Logistics preferred.
•    Three to five years managerial or supervisory experience preferred or history of progressive work experience.
•    Customer service background strongly preferred.
•    Previous shipping and logistics experience required (domestic and international).
•    Previous blood banking or healthcare experience preferred.
•    Proficient use of Microsoft Office products including Word, Excel, Outlook, and PowerPoint.
•    Ability to use shipping software (i.e. Starship, Fed Ex), shipping scanner, and scale to weigh packages.
•    Ability to quickly learn new software programs as needed including our in-house computer software, Management Business Solutions (“MBS”), Inventory Management software (“Freezerworks”) and Great Plains (“GP”).
