Job Summary

Provide administrative assistance in support of Human Resources functions. Responsible for establishing and maintaining talent acquisition, personnel, occupational health, and injury records for multiple operations and sites. Perform administrative tasks to support other Human Resources functions as needed. 

Primary Responsibilities:

  • Prepare and send offer letter packages to candidates upon request of the designated recruiter
  • Send invitations for candidates to submit information for background and social media checks and follow up to ensure results are complete and acceptable according to company and position standards.
  • Perform reference checks.
  • Coordinate and authorize new hire occupational health services including post-offer TB Tests and MMR Titer.
  • Notify HR Manager(s) of concerns/clearance and confirm start dates with candidates and hiring manager.
  • Perform E-Verify for all designated new hires. Label and file I-9s and EEO forms.
  • Create and maintain employee files; ensure proper filing of employee and other benefits-related documentation.
  • Complete government employment verification requests.
  • Generate, redact, format, and distribute reports of moderate complexity from the HRIS system.
  • Report Workers Compensation Incidents/Injuries to third party administrator, establish and maintain records for OSHA Compliance.
  • Prepare and e-mail Benefit Termination Notices to employees following receipt of resignation.
  • Prepare Service Award Special Payment Check Requests, obtain HRBP and Site Leader or designee for approval, and submit to Payroll monthly.
  • May participate in Global Community Ambassador meetings and activities.
  • May assist with On Boarding New Talent.
  • Perform all other related duties as assigned.

Job Qualifications

  • Education:  Associate’s degree (A.A. /A.S.) or equivalent in related field. 
  • Experience:  Two to four years related experience in Human Resources; or High School diploma with 3-4 years related experience in Human Resources.

 

An equivalent combination of education and experience may be accepted as a satisfactory substitute for the specific education and experience listed above.

  • Other:  Proficient in computer software such as Microsoft Word, Excel, Outlook and PowerPoint. Proficiency with Success Factors or other HRIS Database software preferred. Demonstrated ability to handle and maintain confidential materials/information. Must be extremely detail oriented, able to handle multiple tasks and meet deadlines. Must be a team player.
