Job Summary

We are seeking an Administrative Support Specialist III for our Insourcing Solutions site in Bethesda, MD.

 

Responsible for all aspects of Personnel Packages, including creating packages for new personnel, maintaining renewals, and terminations as well as meeting with new laboratory staff to ensure their welcome packages are complete and that the individuals are informed of and in compliance with all policies and procedures.

 

Word processing/typing of correspondence and manuscripts for PI(s). Perform data entry to include: Creating, updating, and maintaining spreadsheets and other databases utilizing MSWord, Excel, and other programs specific to the support of the client’s operation which may include FAES insurance, FPS, NED System, ACH Banking, and OMS physicals. Administrative responsibilities including surplus property management in NBS system.

 

Create and/or review travel authorizations and travel vouchers for Domestic, Foreign, and Sponsored travel in the Concur Travel System. Prepare Clearance forms. Assist with office communications:  receives and answer e-mail and telephone calls – takes complete messages.  Based upon urgency of message either takes message or refers communications / caller to appropriate contact. Arranges conference calls as needed. General Clerical support including Filing, Sorting and distributing mail, Receiving and signing for incoming packages, Sending and Receiving Faxes, arrange conference calls, Prepare Shipping for International and Domestic priority packages.

 

The following are requirements for the ASSIII position:

EducationHigh school diploma or general education degree (GED).                                                                                                                                                                                                      Experience: A minimum of two years’ experience working in an office environment required.  Experience working in a medical environment or with scientific staff very helpful.
